Component 1: Role

Tell Claude who it is.

Not "you are an assistant." Tell it the specific job title, seniority level, specialty, and relevant experience.

Component 2: Task

Use a clear action verb. Specify the output type. Scope the length.

Before (weak prompt):

"Write an email to my client about a delay."

Output: Generic, corporate-sounding apology email that could apply to any situation.


After (strong prompt):

You are a senior project manager at a management consulting firm.

Write an email to the client (Sarah, VP of Operations at a 400-person manufacturing company) explaining that our go-live date is being pushed from March 15 to April 2 — an 18-day delay. The cause is that two key client stakeholders haven't completed their portion of the data migration, which was their responsibility per our project charter.

Tone: Professionally direct. We don't want to throw blame, but we also need the client to understand that this delay is on their side so we're not penalized. We have a good relationship with Sarah.

Format: 3 short paragraphs. Lead with the news, then give context, then next steps. Under 200 words.

Constraints: Do not apologize in a way that implies it's our fault. Include a proposed call to discuss next week.

Output: A precisely calibrated email that handles the political nuance, maintains the relationship, and communicates clearly — ready to send with minor personalization.


Legal: Contract Clause Review

Before (weak prompt):

"Review this contract clause."

Output: Generic legal commentary that may or may not be relevant to the situation.


After (strong prompt):

You are a senior commercial contracts attorney specializing in SaaS agreements.

Review the following limitation of liability clause from a vendor contract our company is being asked to sign. We are the customer, not the vendor.

Identify: (1) any provisions that are unusually favorable to the vendor, (2) standard market positions on each key provision, (3) the 2-3 changes you would push back on in negotiation.

Format: Bullet points organized by issue. Flag the highest-risk items with [HIGH PRIORITY].

Constraints: Flag any analysis that requires jurisdiction-specific knowledge with [JURISDICTION CHECK: note the issue]. Do not state legal conclusions as definitive — this is for internal discussion, not client advice.

Tone: Constructive, specific, and growth-oriented. Not vague or general.

Tone: Confident and specific. Lead with their problem, not our capabilities.

Constraints: Do not list features — connect every element to a business outcome for the client. Avoid superlatives ("best," "leading") — use specifics instead.

Template 7: Meeting Prep Brief

You are a [role] preparing for a high-stakes meeting.

Create a preparation brief for a [meeting type] with [attendees and their roles].

Context: [2-3 sentences about the situation, history, and stakes]

Purpose of this meeting: [What needs to be decided or accomplished]

Please provide:
1. 5 questions I should ask during this meeting

4. One "watch out" — something that could derail this conversation

Format: Organized as numbered sections. Keep it punchy — this is a reference doc for right before the meeting.

Template 8: Market/Competitive Analysis Section

You are a senior strategy consultant with expertise in [industry].

Write the competitive landscape section for an internal strategic memo on [topic].

Competitors to address: [List]

Context: We are [company description]. We are evaluating [strategic decision].

For each competitor, analyze: (1) their position, (2) their apparent strategy, (3) their key strengths, (4) their key vulnerabilities.

Format: Table for the overview, then 2-3 paragraphs of strategic synthesis underneath.

Constraints: [If pasting research] Base your analysis only on the information I've provided — do not add external claims you can't verify. Mark any inference that goes beyond the facts with [INFERRED].

Template 9: HR Job Description

You are a senior HR professional writing a job description.

Write a job description for a [job title] role at [company type and size]. 

Role context: [What problem this role solves, who they'd report to, key cross-functional interactions]

Must-have requirements: [List 4-6 genuine requirements]

Nice-to-have: [List 2-3]

Tone: Direct and compelling. Lead with impact, not requirements. Write for a smart professional who has options.

Format: Sections — About the Role, What You'll Do, What You Bring, Bonus Points. No laundry list of duties — keep "What You'll Do" to 5 outcome-oriented bullets max.

Constraints: Avoid gendered language. Remove any requirement that isn't genuinely required (don't pad with nice-to-haves in the must-haves). Don't use the phrase "fast-paced environment."

Template 10: Financial Narrative (For Reports)

You are a senior financial analyst writing narrative commentary for a business report.

Write the financial commentary section for our [report type] covering [period].

Key numbers:

Create:

Constraints: Keep slide titles to 8 words max. Talking points should tell the story between slides, not repeat what's on them.

Template 13: Difficult Conversation Script

Help me prepare for a difficult conversation with [person's role and relationship to me].

Tone: Direct, empathetic, professional. I want to be honest without being harsh.

Constraints: Don't script every word — give me frameworks and key language. I want to sound like myself, not like a rehearsed speech.

Template 14: Policy or Procedure Document

You are a senior [HR / operations / compliance] professional.

Write a [policy name] policy for [company type, size, industry].

This policy needs to address: [Key issues or scenarios it should cover]

Audience: All employees, including frontline workers who don't read legal documents for fun.

Format: 
- Purpose statement (2-3 sentences)
- Who this applies to

Tone: Clear, direct, human. Avoid legalese unless legally required. If something must be stated in legal language, follow it immediately with a plain-English explanation.

Constraints: Every rule must be actionable. Vague rules create compliance problems — if you can't make something specific, flag it with [NEEDS SPECIFICITY].

Template 15: Case Study or Success Story

Write a customer case study for [company name] (client we've worked with).

Tone: Factual and compelling. Let the results speak — don't oversell. 

Constraints: Every claim must be based on the information I provided — do not embellish results or invent quotes. Mark where additional client input would strengthen the story with [CLIENT QUOTE NEEDED] or [VERIFY STAT].

Advanced Techniques for Expert-Level Results

Technique 1: Chain-of-Thought Prompting

Tell Claude to show its reasoning before producing the output. This improves output quality on complex analytical tasks.

How to use it: Add "Before writing the [output], first outline the key considerations and your recommended approach. Then produce the final output."

Don't try to get the perfect output in one prompt. Use a series of targeted refinements.

Step 1: Get the structure right. "Is the structure of this memo clear? Rewrite it if not." Step 2: Refine the tone. "Make the executive summary section more direct — remove any hedging language." Step 3: Sharpen the content. "The third paragraph is vague. Make it more specific with a concrete example."

This iterative approach almost always beats trying to write the perfect mega-prompt upfront.

Technique 5: Role Reversal for Self-Critique

After Claude produces an output, ask it to critique its own work.

Troubleshooting Bad Outputs

Problem: Output is too generic

Fix: Add more specific background. What's the company? Who's the audience? What's the specific situation? Generic inputs produce generic outputs.

Problem: Tone is wrong

Fix: Provide a specific tone instruction + an example sentence or two that captures the right voice. Or paste an existing document in the right tone and say "write in this style."

Problem: Output is too long

Fix: Add explicit word count constraints. "Under 200 words" or "exactly 3 paragraphs" works better than "be concise."

Problem: Output hallucinates facts

Fix: Add the constraint: "Do not state facts or data I haven't provided. If you'd normally cite a statistic here, write [STAT NEEDED: describe what would help] instead."

Problem: Claude won't follow the format

Fix: Be more explicit and structural. Instead of "use bullet points," write: "Format requirements: (1) Use H2 headings for each section, (2) Use bullet points for any list of more than 2 items, (3) Maximum 3 sentences per paragraph."
